Overview

The Business Office Coordinator-Institute of Mental and Behavioral Health Research (IMBHR) is responsible for performing a wide variety of complex administrative tasks for assigned members of Senior Leadership within the IMBHR group. The BOC manages the daily operations of the corresponding departments and serves as the immediate supervisor of the administrative staff.

Responsibilities

PRINCIPAL DUTIES AND RESPONSIBILITIES

    Orchestrates corporate functions, managing schedules, arranging appointments and venues, drafting agendas, and recording meeting minutes as required. Facilitates travel logistics and expense reimbursements in alignment with organizational standards for assigned senior leaders and staff within IMBHR.
  • Works collaboratively with the Project Manager- Research Administration to perform functions relevant to interviewing, hiring, onboarding, developing and evaluating administrative assistants.
  • Assisting with financial tasks such as invoicing, billing, accounts payable/receivable, and payroll processing. Assisting in collecting, analyzing, and reporting data related to business operations, financial performance, and other relevant metrics.
  • Works with the Project Manager to evaluate resource allocation of administrative staff including development of metrics to evaluate need and efficiency.
  • Produces and promotes quality improvement initiatives with regard to essential administrative functions and systems.
  • Creates, implements, and directs communications that effectively promote the organization both to internal and external stakeholders. Assists in the creation of moderately complex correspondence, spreadsheets, and visual presentations for projects as assigned by the Institute or Project Manager
  • Strategizes, coordinates, analyzes, and completes specialized projects within IMBHR.
  • Supports, communicates, implements, and enforces the philosophy, mission, values, standards, policies and procedures of the Abigail Wexner Research Institute and Nationwide Children's Hospital
  • Performs other related duties as assigned.
Qualifications

REPORTING RELATIONSHIPS

Reports to: Project Manager, Research Administrative Operations or their designee.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

Five to ten years of administrative experience preferred, as well as 2 years of leadership or supervisory experience

Skills

  • Strong communication and interpersonal skills required
  • Strong leadership skills required
  • Extensive experience with project management required
  • Ability to work independently
  • Proficient in Microsoft Office Suite
  • Strong Organizational Skills
  • Ability to manage multiple projects, and problem solve effectively
  • Must complete Ambassador Program within first 12 months of employment

MINIMUM PHYSICAL REQUIREMENTS

  • Sitting for extended periods
  • Talking on the phone/in person
  • Typing on a computer keyboard
  • Standing/walking
